Relations
Recording clients, opposing parties, and contacts, KvK import, Wwft data, and merging duplicates.

What is this? A relation (ârelatieâ) is any person or organization your firm records: clients, opposing parties, contacts, and employees. Matters, invoices, and portal access always hang off a relation. The interface is in Dutch; on-screen names are quoted below.
How to create a new relation
- Click âRelatiesâ in the left rail.
- Click âNieuwe relatieâ (new relation).
- Under âSoortâ (type), choose âParticulierâ (individual), âBedrijfâ (company), âContactpersoonâ (contact person), or âMedewerkerâ (employee).
- Fill in the details: for an individual, âVoornaamâ (first name), âAchternaamâ (last name), âInitialenâ (initials), âGeboortedatumâ (date of birth); for a company, âBedrijfsnaamâ (company name) and âKvK-nummerâ (trade register number). Fill in âE-mailâ and âTelefoonâ where possible.
- Choose âAfdelingâ (department) and âToegangsniveauâ (access level) if needed.
- Click âRelatie aanmakenâ (create relation).
If the new relation resembles an existing one (same KvK number, email address, name plus date of birth, or company name), Basenet immediately shows âMogelijke duplicatenâ (possible duplicates). Click âOpenenâ (open) to use the existing relation, or deliberately choose âToch aanmakenâ (create anyway).
The tabs of a relation
- âDetailsâ â contact details, âKvK-nummerâ, âIBANâ, âBtw-nummerâ (VAT number). Adjust via âRelatie bewerkenâ (edit relation) â âWijzigingen opslaanâ (save changes).
- âComplianceâ â Wwft data: see below.
- âDossiersâ â which matters this relation is a party in, and with which âRolâ (role).
- âHistorieâ â change history.
Viewing and editing relation details
The overview displays populated fields and core identity information. âLege velden tonenâ (show empty fields) reveals empty fields. This preference is remembered per user and also applies to matter details.
Choose âRelatie bewerkenâ for the full form on the same page, including the firmâs custom fields. âAnnulerenâ (cancel) and âWijzigingen opslaanâ (save changes) are at the top. Use a fieldâs pencil to edit one value without opening the full form. Existing permissions determine which values you can change; centrally maintained courts and prosecutors are not ordinary editable company relations.
How to import company data from the KvK register
- Open a company relation and go to the âComplianceâ tab.
- Under âKvK-importâ, click âImporteren uit KvKâ (import from KvK).
- Enter the 8-digit KvK number and click âOpzoekenâ (look up).
- Review the âWijzigingenâ (changes) shown (including any âUltimate beneficial ownersâ) and click âToepassenâ (apply).
Wwft data on the Compliance tab

This is where the firm records client acceptance (required under the Wwft â see the Glossary):
- âCliĂ«ntacceptatie (Wwft)â (client acceptance) â status âGeenâ (none), âIn behandelingâ (in progress), âGeaccepteerdâ (accepted), or âAfgewezenâ (rejected), with âWwft-risicoâ (Wwft risk) âLaagâ (low), âMiddelâ (medium), or âHoogâ (high) and a valid-until date. Record with âBeslissing bevestigenâ (confirm decision); earlier decisions stay visible under âEerdere beslissingenâ.
- âPEP-statusâ and âSanctiemarkeringâ (sanctions flag).
- âBSNâ (citizen service number) â set via âBSN instellenâ (set BSN) â âValideren en opslaanâ (validate and save) (Basenet checks the 11-test). The BSN is stored with extra protection and only visible with a separate permission (âBSN-permissie vereistâ, BSN permission required).

How to merge duplicates
Two registrations of the same person or company are merged â this never happens automatically; a human choice is always required.
- On the âRelatiesâ page, click âDuplicaten beoordelenâ (review duplicates).
- Per group you see the matching relations, with the reason (âZelfde KvK-nummerâ (same KvK number), âZelfde e-mailadresâ (same email address), âZelfde naam en geboortedatumâ (same name and date of birth), or âZelfde bedrijfsnaamâ (same company name)) and a âAanbevolen winnaarâ (recommended winner).
- On the relation that should remain, choose âDeze relatie behoudenâ (keep this relation) and click âSamenvoeging beoordelenâ (review merge).
- On the confirmation screen, check the âWinnaar (blijft zichtbaar)â (winner, stays visible), the âVerliezer (blijft bewaard voor herstel)â (loser, kept for recovery), and the âTe verplaatsen verwijzingenâ (references to move: matter parties, documents, invoices, appointments, and so on).
- Click âSamenvoeging bevestigenâ (confirm merge).
Made a mistake? Under âRecente herstelbare samenvoegingenâ (recent recoverable merges), use âOngedaan makenâ (undo) â âHerstel bevestigenâ (confirm recovery) to reverse the merge exactly.
